Connect to your Exchange Server using Default Connection
EdbMails Exchange Migration Software provides two connection options to authenticate and connect with your Exchange servers: Default Connection and Autodiscover Email. These methods are designed to work with different server configurations, security settings, and administrative requirements, helping ensure a smooth and reliable migration setup.
The Default Connection method is recommended for most on-premises or tightly controlled environments as it provides a direct, stable, and secure connection to both the source and target Exchange servers.
If the Autodiscovery Service is enabled in your Exchange environment, you can choose the Autodiscover Email method as an alternative connection option.
Steps to Configure a Source Exchange Server Connection
Before Configuring a Source Exchange Server Connection, verify the system requirements. After confirming the requirements, download and install the EdbMails application on your computer to proceed with the migration process.
- First, select Live Exchange Migration operations in the EdbMails application. After that, you can configure the job name by either using the default name or clicking the 'New Job’‘ button to enter a custom name.
- Next, click the ‘Add New Connection’ button to establish a new connection to the source Exchange server. If you prefer to use an existing connection, you can select it from the connection list and click ‘Connect to Existing’. In this case, we will proceed with creating a new connection.
- The Exchange Server source connection opens a wizard to configure the migration. Here, select the default connection option ‘Connect using Global Admin User’ and choose ‘Connect to Primary / Shared Mailboxes’ as the mailbox type to migrate all mailboxes efficiently and securely, then click the ‘Next’ button.
Connection Methods
- Connect Using Global Admin User - Connects using a global administrator account with full access for discovery and mailbox operations.
- Connect to Specific User - Authenticates using an individual user’s credentials when access is limited to a single mailbox.
- Connect to Hosted Exchange Server - Used when your Exchange server is hosted by a third-party provider rather than managed on-premises.
Mailbox Types
- Connect to Primary / Shared Mailboxes - Allows access to users’ primary mailboxes as well as shared mailboxes.
- Connect to Public Folders - Enables migration of public folder hierarchy, content, and permissions.
- Connect to Archive Mailboxes (In-Place Archive) - Connects to users’ archive mailboxes for migrating archived data
- Choose ‘Use Default Connection’, then enter the source Exchange server details, including IP address, Exchange version, DOMAIN\username, and password, and click the ‘Login’ button.
- Once you’ve successfully logged into your source Exchange server, choose a method to load the mailboxes.
- Load Mailboxes automatically
- Load Mailboxes Using .CSV file
- Load Mailboxes from previous list
EdbMails will automatically load the mailboxes; however, due to Microsoft API limitations, it may display a maximum of 100 mailboxes at a time. If your organization has more than 100 mailboxes, use the ‘Load Mailboxes using .CSV file’ option to import all mailboxes efficiently and prepare them for migration.

- After loading all the mailboxes, select the mailboxes or folders you want to migrate from the source Exchange server.
Once the source Exchange server connection is successfully configured and the required mailboxes are selected, the source setup is complete. You can now proceed to configure the target connection to continue with the migration process.

- Best for Migrations with Strict Security: Many organizations disable Autodiscover for security reasons; Default Connection works seamlessly even in tightly controlled environments.
- Consistent Performance: Since it connects directly to the server endpoint, data transfer remains stable and optimized during the migration process.
