- Enable the auto-expanding feature only if you require more storage space.
- By default, the Archives have 100GB of storage when you enable them and the auto-expanding adds additional storage (unlimited archiving) when the threshold is reached. This limit is expandable up to 1.5TB per mailbox.
- Remember that the auto-expanding works only on Office 365 and you cannot run it on the on-premises Exchange server.

Steps to Migrate Exchange Archive Mailbox to Office 365
Step 1: Download and install EdbMails software
- Download and install EdbMails on your computer that can be connected to the source Exchange server.

- Open the EdbMails application on your computer.
- Enter your registered email ID and password, then click ‘Login’. If you are a new user, select ‘Start Your Free Trial’ to continue with the trial version.Note: The trial version provides access to all key features and supports migration of up to 30 items per folder. To perform unlimited migration, purchase an Exchange Migration license from the official EdbMails website.After completing the license purchase, close the application and restart it. Then log in with the same email ID and password used during the purchase to activate the license successfully.
- Select the ‘Live Exchange migration’ option.
- Select 'Live Exchange to Office 365 Migration'
- You can use the default job name or click the 'New Job' button to modify the job name and continue.
- Download and install EdbMails on your computer that can be connected to the source Exchange server.
Step 2: Connect to source Exchange server
- Select ‘Add New Connection’ to establish a new connection with the source Exchange server. If you want to reconnect to an earlier connection, choose it from the available list and click ‘Connect to Existing’.
- Select ‘Connect to Archive Mailboxes (In-place Archive)’ option for archive migration and click ‘Next’ to proceed.
- Select the ‘Use Default Connection’ option and provide the Exchange server name along with the corresponding version, or choose ‘Use Autodiscover Email’ to sign in directly using your user credentials.
- Enter the required source Exchange server information such as the IP address (Domain name), Exchange version, Username, and Password.
- After entering all the necessary details, click ‘Login’ to continue.
- After signing in to your target Office 365 server, choose the preferred method to load the mailboxes.
- EdbMails provides an automatic mailbox loading option that simplifies the setup process. Due to Microsoft API limitations, this option displays up to 100 mailboxes at a time.
- For larger environments or when you want to include specific mailboxes, select the ‘Load Mailboxes using .CSV file’ option. This method allows manual selection and provides full control over the mailbox loading process.
- Choose ‘Load Mailboxes Automatically’ and click ‘Next’ to proceed.
Step 3: Select Exchange Archive mailboxes
- Choose one or more Archive mailboxes / folders you wish to migrate.

- Click ‘Add New Connection’ to link to the target Office 365. For a previously used connection, select it from the list and click ‘Connect to Existing’ to continue.
- Select ‘Connect to Archive Mailboxes (In-Place Archive)’ option, and click the ‘Next’ button.
- Ensure you have a Global Admin account with an active mailbox to enable auto registration of the EdbMails application in Entra ID (Azure Active Directory).
- For manual registration, you can use a Global Admin account or a user account with full access permissions.
- Select ‘Auto Registration’ to establish the connection with Office 365, then click the ‘Login’ button to continue.
- Authenticate on Microsoft sign-in page.
- After successfully connecting to your target Office 365 server, choose one of the options to load the mailboxes.
Step 5: Exchange to Office 365 Archive mailboxes mapping
- Choose the required mailbox mapping option.
- EdbMails automatically maps the source mailboxes to the target mailboxes, saving you the manual effort.
Step 6: Start Exchange Archive mailbox to Office 365 migration
- Click the 'Start Migration’ button to initiate the migration process.
